Keepmoat Homes is a UK-wide housing developer with sites in over 60 locations.
The Retinue managed service relationship emerged from a 10-year relationship with Keepmoat Group. In 2016, Retinue was awarded a three-year contract with Keepmoat Group with an extension for a further two years.
Requirement
The contract’s aim was to deliver an outsourced temporary staff-managed service solution. Keepmoat needed to solve many challenges. To start with, there was no cost control. Keepmoat was using paper-based time recording. They had minimal visibility in tracking the volume of workers and associated costs. Keepmoat was also keen to receive support in improving its levels of effective governance.
Solution
Keepmoat was at risk of employing workers who did not meet the minimum criteria required. Key areas of weak vetting included Right to Work and job title-specific qualifications. Retinue facilitated training for all hiring managers on their technology platform (VMS365).
Changes in processes saw hiring managers complete online requisitions and job approvals; pre-vet and select workers; approve timesheets securely online, and receive consolidated invoicing.
Retinue provided a dedicated team to support Keepmoat’s HR and operations teams to:
- manage operational demand
- assist managers with their future resourcing plans
- ensure that Keepmoat’s policies are followed
Compliance protocols were redefined to mirror employee compliance requirements, mitigating exposure to risk. Retinue established consistent mandatory compliance. This is a minimum standard for compliance based on job category. This is now measured and managed consistently across the supply chain.
Results
Retinue identified that there were fluctuations around supplier terms and profit margins being charged. We also identified gaps in clarity over internal Keepmoat recruitment processes. This was due to minimum supplier vetting and inconsistent recruitment practices which were rectified. Keepmoat HR has improved in efficiency following new end-to-end recruitment processes for hiring managers. Recruitment processes are now auditable, improving the speed and quality of escalation management.
